Asset Reports

Review the standard printing options described above, under Print Reports.

Remember that for many of the asset reports, you can use the Filter button to limit the records that appear in the report and the Sort button to sort report records.  For example, many of the asset reports can be sorted by location, department, operator and supplier, if you click the Sort button at the bottom of the dialog box.

1.Asset Snapshot: Summarizes the General Information, Meter Information, Warranty Information, Requests, Downtime and Meter History for the selected asset.
a.Choose the Asset by clicking on the ellipsis and opening the Find Asset window.  Select the Asset you want to view in the report and click OK.
b.Select the Show Main Image Attachment checkbox if you want the asset's main image attachment printed on the report.
c.If you want to limit the number of meter history and location history records displayed, enter the number of records you want to see in the Show Last fields under History Options.
d.If you want to Show Warranty History Records, select this checkbox.
2.Asset List: Displays a list of asset records.
a.From the Show Asset drop-down list, choose the amount of information you want displayed for the assets in the list. Each option provides an increasing amount of information.
i.List: A simple list with the name, description, abbreviation, category and status of each Asset.
ii.Information: Also shows a brief summary of meter, warranty and Address Book information.
iii.Service: Also shows the Services on the Asset.
iv.Complete: Also shows the complete Procedures and Details for each Service on each Asset.
b.Check the Show Depreciation checkbox if you want the report to show the Start Value, Current Value and Difference for each asset.
3.Asset Fluid: Indicates how much of a selected fluid is used on each asset within a date range you select.
a.Choose the date range for the report from the Start and End drop-down calendars.
b.From the Group By drop-down list, choose how you want to group the assets in the report: Department, Asset, Location or Operator.
c.Choose a fluid Category from the drop-down list.
d.Check the boxes if you want any of the other options to apply to the report:
i.Use Estimates when Calculating Counts
ii.Convert Kilometers and Litres to MPG
iii.Detailed
iv.Show Fluid Usages as Asset Usage/Fluid Quantity
v.Show Costing
4.Asset Usage: Indicates how often an asset is used within a defined date range.
a.Choose the date range for the report from the Date From and To drop-down calendars.
5.Location History by Asset: For each asset, displays the locations in which the asset has been located.
a.Choose the Date From of the report from the drop-down calendar.
6.Location History by Location: For each location, displays assets that have been in that location.
a.Choose the Date From of the report from the drop-down calendar.
7.Asset Downtime: Displays the days of downtime for each asset during a period you select.
a.Choose how you want to group the assets in the report from the Group By drop-down list: Category, Department, Location, Operator, Supplier, Downtime Type or None.
b.Choose the date range from the From and To drop-down calendars.
8.Asset Downtime Hours: Displays the hours of downtime for each asset.
a.From the Group By drop-down list, choose how you want to group the assets in the report: Category, Department, Location, Operator, Supplier, Downtime Type or None.
b.Choose the date range from the From and To drop-down calendars.
c.Check the checkboxes if you want to Show Percent Down and/or Calculate Using Estimates.
9.Service Forecast: Displays a list of the services scheduled up to a selected date.
a.Choose the Date Range of the report from the drop-down calendars.
b.Check the relevant checkboxes if you want to:
i.Show Part Breakdown
ii.Show Labor Breakdown
iii.Show Fluid Breakdown
iv.Show Other Breakdown
v.Show Costs in the Breakdowns
vi.Show Report Totals
vii.Show Dates
c.From the Group By drop-down list, choose how you want to group the services in the report.
d.If you want page breaks between groups, check the Page Break on Group box.
10.Service History: Displays a list of all services performed during a period you select.
a.Choose Report Dates from the Start and End drop-down calendars.
b.Check the checkboxes of the Report Options if you want to Show Service Details, Show Service Procedures and/or Show Costing Information.
11.Asset Service Due: Displays a list of asset services that are coming due.
a.Show Days Remaining Less Than: If you enter a number here, the report will only display services due in that number of days or less.  For example, if you enter “5”, the report will only show services that are due in 5 days or fewer.
b.Show Meters Remaining Less Than: If you enter a number here, the report will only display services due within that meter reading or less.
12.Asset Warranty: Displays a list of asset warranties.
a.Under Report Options, you can limit the displayed warranties to those that expire in a certain number of days or at a certain meter by checking the boxes and entering a number in the Days or Meter fields.
13.Inventory Warranty: Displays a list of inventory item warranties.
a.Under Report Options, you can limit the displayed warranties to those that expire in a certain number of days or at a certain meter by checking the boxes and entering a number in the Days or Meter fields.
14.Asset Requests: Displays a list of asset requests.
a.From the Show drop-down list, choose which requests you want to show: Outstanding Requests Only, Performed Requests Only or Both Outstanding and Performed Requests.
b.Check the boxes if you want to Print Equipment that Do Not Contain Problems and/or if you want to insert a Page Break on Each Equipment.
15.Asset Replacement: Displays all assets that have a meter usage in the selected range.  This report can be used to find which assets need to be replaced.
a.Select the meter usage range by entering the meter Usage From and To.
16.Asset Part/Fluid List: Lists the parts and fluids attached to each asset.
17.Asset Value: Shows the value of the asset based on depreciation.  Note that this report will only include assets that have the Use Depreciation flag selected.
a.Choose the Date from the drop-down calendar.
18.Asset Depreciation: Shows how much each asset has depreciated over a time period.  Note that this report will only include assets that have the Use Depreciation flag selected.
a.Choose the Date From and To date range for the report.
