Work Orders

1.Select Setup | System Settings from PMXpert’s main menu.
2.Select the Work Orders tab and enter your settings, following the instructions below.
3.When you have completed entering data into all the System Settings tabs, click Save.

In the Next Work Order field, enter the number you want PMXpert to begin with when assigning numbers to work orders as they are created.

If you want to continue the sequence you are already using, enter the next number in the sequence.

If want to start a new sequence, set the next work order number to 1. PMXpert will automatically increase this figure each time a work order is created.

1.Allow Entry of Performed Date at the Detail Level: Select this checkbox if you want to be able to enter a Performed Date on the details of services in a work order.  If you do not check this box, the details will have the same date that the service is set to when closed.  See Chapter 6: Work Orders, Add Services, Procedures and Details to a Work Order.
2.When Closing a Work Order, Require All Procedures to be Completed: If you want to ensure that all procedures are completed before a user closes a work order service, select this checkbox.  If you attempt to close a service before completing all procedures, you will receive a warning and will not be able to complete the service.
3.Allow Closing of a Work Order that has Open Service:  If you want to allow users to close a work order before closing all services, select this checkbox.  If a user closes the work order before closing the services, any open Asset services will be returned to the PM schedule, and newly added services will be deleted.  If you want to ensure that all services are closed before a user closes a work order, unselect this checkbox. The user will not be able to close the work order until all services are complete.
4.When Adding Requests to a Work Order, Add an Attachment Procedure for Each Request Attachment: If you have this option selected, PMXpert will automatically create an attachment-type procedure for each of the request's attachments when you add the request to an existing work order or create a new work order for the request.  See Chapter 12: Service Request Module, Create a Work Order for a Request and Assign a Request to Existing Work Order, and Chapter 3: Assets, Requests in the Assets Screen: Create Work Order from Request.
5.Default Item Quantities to 1: When you later add detail items (such as parts, labor and fluids) to a work order, a quantity of 0 or 1 will default into the Quantity field of that new item.  If you want to default item  quantities to 1, select this checkbox.  If you want item quantities to default to 0 (zero), leave this checkbox unselected.
6.Set Overdue Work Orders to this Status: If you want to automatically set overdue work orders to a certain status, select this checkbox.  To select the status, click the Set Status button, select  the status in the Set Status dialog, and click OK.  If the status doesn't exist yet, you need to create it in your Status Codes.  Refer to Step 8: Status Codes, Create Status Codes: Work Order.
7.Update the Asset Service Schedule Date when Changing the Work Order Service Schedule Date: In Asset Setup, Asset Services are usually set at a Lock Level of Unlocked, meaning that PMXpert will automatically adjust the Scheduled Dates of Asset Services using the last performed date, and the passage of time and/or use of the asset (meter).  However, when you add an Asset Service to a Work Order, you can manually change the Scheduled Date of the Service.  This System Setting option allows you to choose whether the Scheduled Date of the Service will be locked into the date you choose on the Work Order.  If you choose Always, and change the Scheduled Date of the Service on the Work Order, the Lock Level of the Asset Service in Asset Setup will be set to Full Lock, meaning that the Scheduled Date of the service will be locked at the date you set.  If you choose Never, and change the Scheduled Date on the Work Order, the Next Scheduled Date of the Asset Service in Asset Setup will stay at its original date and the Lock Level of the Asset Service will remain Unlocked.  See Chapter 6: Work Orders, Edit, View or Delete a Service in a Work Order.
Click to expand/collapse textWhen Pulling Detail from the Asset Services

There are several checkboxes under When Pulling Detail from the Asset Services. You can choose whether you want to Initialize Actual Quantities from Estimated Quantities for Parts, Fluids, Labor and Other.

When you add scheduled Services to Assets in setup, you can estimate how many detail items (Parts, Fluids, Labor and Other) you will require to complete the service. When you later create Work Orders for these services, you will enter the actual quantity of items used to complete each service.  With this system setting option, you can choose whether you want the Actual Quantity of the item to default to the Estimated Quantity, or to zero (so that you will type in the actual quantities).

Select the checkboxes if you want PMXpert to use the estimated quantities as the default actual quantities.

When you close a Work Order Service in the Work Orders screen, you can choose to skip any or all of these screens:

Unselect the checkboxes of the screens you do not want to view when closing a service.
